The Registrar supports school administrators and Operations Managers by processing requests for both new enrollments and withdrawals, maintaining student files and records that are both clerical and academic in nature, performing routine administrative duties and facilitating communications with various stakeholders.
Requests and tracks receipt of records for newly enrolled students; prepares mass data imports for new students within prescribed time frames;
Processes student withdrawals; fulfills records requests for withdrawn students within prescribed time frames;
Processes parent contact and data information changes;
Maintains K12 and state student-level databases;
Creates and maintains student cumulative files and other student records; audits for accuracy on at least an annual basis; establishes and maintains secure access to student records; ensures proper disposal of student records;
Serves as primary point of contact for families, teachers, staff, and other schools in regards to accessing student information and records;
Assists in routine administrative duties including: preparing transcripts and records release forms; preparing progress reports; preparing state testing (as needed); and preparing school-wide mailings;
Assists counselors in verifying graduation requirements and credits earned, as applicable;
Assists with national K12 efforts in training, process enhancement, etc.; facilitates communications between local schools, K12 and school districts as needed;
Ensures school personnel comply with the Family Educational Rights and Privacy Act (FERPA).
Designs and implements filing systems for student records; Establishes procedures for record keeping; Monitors and ensures filing systems are maintained and current; Streamlines various procedures for retention, protection, retrieval, storage and disposal of records where applicable for evolving efficiency;
Oversees inventory and maintenance of all office equipment and supplies; Reviews and approves office supply acquisitions; Maintains postage meter, mailing and package shipment supplies; Manages all package/shipping and office services with third party vendors;
Provides general administrative support by handling the telephone system and coordinating and updating the automated phone tree; setting up conference calls, meetings and office functions both on and off-site; ensuring all conference rooms, kitchen and general traffic areas

Student Transfers
Student Files- Maintaining accurate files for new students and returning students (Making sure that all required documentation is received & noted as so on the student file checklist)
Hotel Reservations- for PD, testing, general staff travel
Employee Set-Up & Deactivation- Shared between Registrars & Ops manager (Registrar tracks process to ensure that all items on new/terminated employee check list are completed. Sending records for withdrawn students, requesting records for newly enrolled students
Student Withdrawals Enrollment County/State Reporting System- Entering new students, noting withdrawn students as withdrawn, adding classroom information at the beginning of the year
Answering office phone
Collection of State Testing Records for newly enrolled students
Miscellaneous Projects- Help with state testing supplies, PD supply gathering & preparation, helping FAST team with building the attendance file that is submitted to the state at the end of the year.

A Day in the Life
Are you driven by excellence to deliver instruction, support and guidance, manage the learning process, and focus on students' individual needs? If selected, you will participate in a comprehensive new teacher training program for three weeks before the start of school. It is an opportunity to meet colleagues and learn the responsibilities required for delivering curriculum in an online environment. During this training you will also learn how to monitor student progress through K12's learning management system, and to be a partner actively working with students and parents to advance each child's learning.Requirements
High school diploma or equivalent AND
One (1) year of related work experience OR
Equivalent combination of education and experience
Excellent organizational and time management skills
Strong written and verbal communication skills
Detail oriented, able to identify errors in student data and information
Able to multi-task, get tasks done quickly and accurately
Customer service oriented, team-player
Ability to work with minimal supervision
Proficiency using Microsoft Outlook and Word
Advanced proficiency using Microsoft Excel including the ability to use pivot tables
Experience using search engines (internet) for research
Experience using a student information system and/or other type of database
Ability to pass required background check
Ability to obtain required fingerprint clearance
Bachelor's degree
Experience working in a school

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
